Planning for Your Tent: Get Your Wedding Planning Started Now 

If you are early in your wedding planning process, you may not have exact numbers for guests yet, and you may not have even determined what style of wedding party you plan on hosting (i.e. sit-down, buffet, cocktail, punch and pie, etc.). However, if you have a rough estimate, you can get this party (planning) started!  

Let’s start with shape. It’s south Florida, so chances are it’s going to be hot. At Sunshine Tents & Event Rentals, we have discovered that square tents as a general rule will have a taller ceiling, which in addition to looking better, also tend to keep tents cooler. Also, it’s much easier to make sure that all of your guests feel included when they are seated in a squarer-shaped tent. (Just think about those weddings you’ve been to when you were at some far end of a very long tent or stuck at the kids table.)

What you need to take into account when it comes to choosing which type of tent you rent is space, logistics, aesthetics, and (of course) your budget. 

What Else Goes into Renting a Wedding Tent? 

If you have a pretty good idea of the size of your wedding party and type of tent that you want to rent, before getting a price quote, it’s important to think about all of the important extras that you might need or want. For example, clear top tents are a very popular alternative to white tents, but you must keep in mind that if any portion of your event is taking place during the daytime, the blistering sun can turn your clear top tent into a giant, sweaty greenhouseTo make sure that there is no stone left unturned, here are a few other things that you will want to consider when renting a fabulous wedding tent: 

Your Catering Tent—Most caterers require what is commonly referred to as a Catering or Cook Tent. It is a smaller tent, typically adjacent to the larger tent and it’s where the food is prepared and plated. It’s also where things like dirty dishes and trash cans are placed out of sight of your guests (like a little kitchen). However, if you’re having a food truck wedding or drop-off buffet catering, you may not need a secondary tent. Keep in mind your catering tent will also need lighting (it can be industrial/utilitarian) and electricity. Catering may need cooling (i.e. fans) or heating depending on the time of year and weather. 

Flooring for Your Tent—You can use the ground with or without a dance floor, or a full floor under the tent. Obviously using the ground is the least expensive option, but there are a few drawbacks here. If there’s rain in the days leading up to your wedding, your ground can get muddy or soggy. Also, grassy ground can be difficult for guests to walk/dance on in heels (which is another reminder to inform your guests that they would be better served by outdoor-appropriate footwear). If you’re putting the tent on sloped or uneven land, you may want to definitely consider flooring in order to level things out.  

Heating or Cooling Your Tent—If your wedding weather is going to be warm, you’ll want to invest in some cooling equipment such as fans which tend to be the best option. Since tents are neither sealed nor insulated, they require a huge amount of power to keep cool with AC. Fans work great to circulate the air, and large fans are generally economical to rent. If you’re getting married at a cooler time of year, you can rent a tent furnace with a thermostat to warm up the tent. A furnace is usually placed outside the tent where no drunk people can knock it over. 

Lighting Your Tent—If your wedding is going to take place at night, you’ll need some lighting inside the tent. There are tons of lighting options available with Sunshine Tents & Event Rentals, including everything from bistro lights strung across the ceiling, to lanterns to twinkle lights, to can lights mounted on the ceiling or theatrical style stage lights with gels! This is definitely a fun part of tenting events! You can also get lighting that is placed on a dimmer to allow for more mood lighting during dancing or brighter for eatingNOTE: if your site does not provide power, you’ll need to rent a generator. 

Liner for Your Tent—Gathered, silky looking fabric that you see inside tents in the movies or magazines is called “Liner. It is more expensive but it certainly adds a level of elegance and flare that may be priceless.  

Walls for Your TentFor wedding tents, your main types of walls are solid, clear,cathedral (meaning with windows), and fabric. Needing walls mostly depends on the average temperature. If you’re getting married in a warmer climate, you may want to skip the walls. If it’s a cooler climate, walls are probably a good idea. If downpours are common, walls will help keep everything nice and dry.
